What we collect, why we collect it, and the choices you have

This notice covers the Spirelight website, buyer forms, first-party website statistics, and the systems used to answer requests. Last updated 1 August 2026.

Who is responsible

Information we handle

When you request samples, a quote, API access, or a call

We process the details shown in the form, such as your name, work email, company, role, phone number where requested, project requirements, languages, use case, desired volume, and meeting selection. We also store the request time and the page, campaign, and controlled call-to-action labels associated with the request when statistics consent is active.

When you create a contributor profile or join a project

We process the profile, language, location, eligibility, contact, and project information you choose to provide. A specific recording or annotation project may include additional terms and a more detailed project notice before you submit work.

Security and delivery records

Form and account systems may record an IP address, browser or device information, verification status, and delivery activity to prevent abuse, secure download links, troubleshoot failures, and keep an operational record of a request.

First-party website statistics

Statistics are off until you choose “Allow statistics.” If you allow them, our own site records the page path and title, external referrer, selected campaign parameters, coarse country, device category, browser language, and controlled funnel events such as viewing a form, starting it, requesting a verification code, submitting, or downloading a buyer template.

Analytics events do not contain names, email addresses, phone numbers, free-text form answers, or form field values. We use a random visitor identifier and a random session identifier so we can understand whether a guide or service page later produced a sample request, quote, qualified lead, or opportunity. The same identifiers may be attached to a request and its CRM note after submission; they are identifiers, not contact details.

  • The visitor identifier has a fixed maximum lifetime of 180 days.
  • The session identifier expires after 30 minutes of inactivity.
  • First-touch page and last call-to-action context are kept only for the browser session.
  • The statistics preference is remembered for up to 12 months.
  • Do Not Track is honoured. No statistics beacon is sent when it is enabled.

Why we use information

We use it to answer the request you made, select and manually send relevant samples, prepare a quote, schedule a call, operate contributor projects, maintain records, prevent misuse, and improve the clarity and conversion performance of the website. We do not sell website statistics or buyer contact information for advertising.

How long we keep it

The browser-side statistics lifetimes are listed above. Buyer, contributor, security, delivery, and commercial records are kept only while needed to handle the relationship, document agreed work, meet accounting or legal obligations, resolve disputes, and protect the service. The exact period can therefore differ by record. You may contact us to ask what is held about you or to request deletion where the record is no longer required.

Service providers and transfers

We use providers for website hosting, databases, authentication, email delivery, CRM, scheduling, file delivery, and security. They process information for Spirelight under their service terms and only for the functions we use. Some providers may process information outside Denmark or the European Economic Area; where applicable, we use the transfer safeguards available for that provider and service.

Your choices and rights

You can refuse or later change website statistics without losing access to the site or forms. Changing to “Necessary only” stops future statistics and clears the tracking identifiers stored in this browser.

Where data-protection law applies, your rights can include access, correction, erasure, restriction, objection, and portability, subject to the conditions and exceptions that apply to the record.
